CSCC Member Roles
Roles and Responsibilities of Catholic School Community Council Officers
The Chairperson will:
- Conduct meetings of the Catholic School Community Council;
- Ensure that all members have input to discussion and decisions;
- Prepare meeting agendas in consultation with the Principal or other Catholic School Community Council Members;
- Oversee operations of the Catholic School Community Council;
- Establish networks that support the Catholic School Community Council; and,
- Act as a spokesperson for the Catholic School Community Council.
- Represents the Association at school functions
- Oversees the running of projects and fundraising initiatives
- With the advise of Treasurer and Principal, ensures that Monthly Bank Statements are in order
- Circulates an agenda and an updated budget to the Executive one week prior to meetings
- Ensures that motions are given fair discussion (identify both pros and cons so that an educated vote can be made), ask for a vote and document outcome
- Ensures that members are given the 'floor' to speak, paraphrase when required
- Establishes due dates and, at each meeting, ask for status updates on projects
- Welcomes guests
- Works with the Secretary to ensure minutes are accurate prior to distribution
- Ensures that all members of the Executive remain accountable
- Recognizes achievements
- Maintains an open door policy through discussions with all members and listening to issues/concerns and provides guidance asked for
The Vice-Chairperson will:
- Support the Chairperson in his/her duties, taking over when the Chairperson is unable to attend; and,
- Perform responsibilities assigned by the Chairperson.
- Participates in CSCC activities
- Ensures that everyone remains accountable
- Promotes the benefits of a CSCC membership to the St. Joan of Arc community
- Encourages participation from each executive member
- Leads by example
- Understands meeting procedure
- Represents the Association at school functions
The Secretary will:
- Take minutes at Catholic School Community Council meetings;
- Circulate minutes no later than 1 week following the meeting
- Receive and send correspondence on behalf of the Catholic School Community Council;
- Take charge of any official records of the Catholic School Community Council; and
- Ensure that appropriate notice is given for all meetings of the Catholic School Community Council.
- Documents all motions, status of projects, captures all due dates
- Reviews minutes with Chairperson prior to distribution
- Includes all submitted reports provided during the meeting and attaches them to the minutes
- Maintains membership list and Executive contact information
- Presents past meeting minutes for approval or amendments at each meeting
The Treasurer will:
- Manage the finances of the Catholic School Community Council using procedures outlined in the School Community Council Funds: Operation and Procedures Manual
- RCS Business & Finance
- Ensures the accountability for ALL monies received (by picking up fund raising orders from the school, etc.)
- Ensures that all payments and deposits are made (by self or arrangement of an alternative Executive member if the Treasurer is unable to do so) in a timely fashion
- Maintains an up-to-date ledger
- Reconciles monthly statements with the ledger
- Submits a Treasurer's monthly report, outlining all monies received, spent and outstanding.
- Provides a year-to-date budget at each meeting
- Provides bank statements (copy for Principal and Chairperson) at each meeting
- Provides banking institution with required information and arranges for new signature on bank signature card immediately following a change in Executive membership
- Outlines accounts paid in the past month and account's outstanding at each monthly meeting
- Solicits input from members for next year's budget and works with the Principal to determine projects to undertake for the next year
- Closes the budget by June 30 and issues a year-end report to parents
The Members at large will:
- Regularly attend monthly meetings
- Participate in establishing fund raising initiatives
- Assists in recruiting new members
- Volunteers to chair various CSCC, developing sub-committees as needed, and report back to the Executive
